Preventive IT Maintenance

Scheduled checks and upkeep that catch IT problems before they stop your team working.

Preventive IT maintenance is planned, regular work on a business’s computers, network and systems, such as applying updates, testing backups, cleaning hardware and reviewing accounts, done on a schedule rather than after something fails. Its aim is to reduce unplanned downtime, extend device life and close security gaps before they are exploited.

How it works

Think of it like servicing a company car. Some tasks happen automatically every day, such as monitoring and backups. Others are done weekly, monthly, quarterly or once a year by a technician, either remotely or during an onsite visit. Each check is logged, so you can see what was done and what needs attention, such as a laptop battery that is wearing out or a firewall that needs new firmware.

Much of the daily and weekly work is automated through RMM. The quarterly and yearly items usually need a person to look, think and talk to you.

Sample preventive maintenance checklist

This is a sample to adapt, not a fixed standard. A small office may combine some steps; a business with servers may add more.

How oftenTasks
Daily (automated)Check backups completed; review antivirus or EDR alerts; watch disk space and device health alerts
WeeklyFollow up devices that have been offline or missed updates; review failed sign-in alerts; clear print queues and stuck jobs
MonthlyRoll out Windows, macOS and app patches; test-restore a sample of files from backup; review disk health and battery wear; remove accounts of staff who have left
QuarterlyUpdate router, firewall, Wi-Fi and NAS firmware; review admin accounts and MFA coverage; check UPS battery; review licences and renewals; physically clean dusty desktops and server fans
YearlyFull disaster recovery test; review the asset register and plan replacements for ageing devices; check warranties; review security policies and staff awareness training

What it means for your business

Singapore’s heat and humidity are hard on hardware, and dusty fans plus a laptop left on a sofa make overheating more likely. Regular cleaning and health checks help devices last longer. Just as important, a tested backup and a removed ex-employee account are the kind of quiet tasks that only matter on the day something goes wrong. Ask your provider to show you the checklist they follow and a sample report.

Preventive vs reactive maintenance

Reactive maintenance fixes things after they fail, which is the break-fix model. Preventive maintenance spends a little time regularly to avoid bigger failures. Most businesses need both: no plan stops every fault, but a good plan cuts how often faults happen and how much damage they do.

Common questions

How often should office computers be serviced?

Updates and health checks should run monthly, ideally automatically. A physical check and clean once or twice a year suits most offices, more often in dusty spaces.

Can preventive maintenance be done remotely?

Most of it can, including patching, backup checks, account reviews and health monitoring. Hardware cleaning, cable checks and UPS tests need someone onsite.

Will maintenance disrupt my staff?

It should not. Updates and restarts are normally scheduled after hours, and onsite visits can be planned for quieter times of the week.
